About Snapshot Labels

Astoria Snapshot Labels allows you to add a label and timestamp to structured documents, elements, files, and external file placeholders so the content as it exists at that historical moment can be used in subsequent processes.

Snapshot labels can be used to ensure a consistent view can be recreated.

Snapshot labels can be used in these processes:
When you add a snapshot label to a document, the label can also be added to all structured documents referenced by that document. Your system can also be configured to cause the label to be added to unstructured files and external files referenced by the document.
Note: This is a change implemented in Astoria 6.3.4. See Changes to Approvals in Release 6.3.4.

Organizations that must observe strict regulatory requirements regarding tracking content changes can configure Astoria to apply an electronic signature when applying a snapshot label or when changing a workflow status. The user must provide authentication credentials during the process. This provides an audit trail of who approved the content or status changes.

Snapshot labels are independent from one another. That is, an object that has a snapshot label added can also have a different snapshot label added. When a processing action is initiated, only a single snapshot label can be specified. Other snapshot labels that may have been added to objects being processed are simply ignored. This independence allows snapshot labels to be effective in a high content reuse environment.

Important: Most organizations will find that defining snapshot label hints in the application document is a best practice, because this method promotes consistency and accuracy. See Defining a New Snapshot Label Hint. However, users can simply type a snapshot label in Astoria dialogs. Although allowed, entering a snapshot label on the fly is not advised, because this practice can degrade consistency and accuracy.
Note: Snapshot labels can be removed from objects. See Removing a Snapshot Label. An administrator can remove a snapshot label from the list of configured snapshot label hints in the application document by selecting it and clicking Delete. See Configuring Snapshot Labels. However, this does not remove snapshot labels that already exist on objects in the repository. You cannot modify a snapshot label text string.
