Creating an Edition

Editions of structured documents can be created to take a read-only copy of the document at a given point in time.

  1. Right-click the structured document and select Publish > Create Edition.
    The Create Edition webform appears.
  2. Provide a Name and optional Description for the edition.
  3. Accept the default Location folder or Browse to and select a different folder.
    The default location is the same folder as the document from which the edition is being created.
  4. Specify the Source Date to be used to create the edition.
    If blank, the most recent version of the document is used.
  5. Select a Snapshot Label from the list if desired.
  6. If you select a snapshot label, specify the action to take on unlabeled elements and referenced files:
    1. For Unapproved Elements, select the action from the list:
      Action Description
      Include Include the latest version of all elements in the created edition.
      Omit Omit unlabeled elements from the created edition. Selecting this option removes elements with no snapshot label from the edition.
      Note: If an element is is omitted because it has no snapshot label, none if its children are included in the edition, even if they have snapshot labels.
      This option applies to elements that have valid snapshot labels; that is, elements that are specified by the Status/Snapshot Allowed On, and Status/Snapshot Elements custom attribute properties (specified on the DTD of the document). Elements that do not have the snapshot label are part of the edition provided that a parent ancestor has the snapshot label.
      Important: You should not use this action when you specify Status Snapshot Allowed On All Elements for a DTD, because you will have to add snapshot labels to every element in the document.
      Error If elements are encountered with no snapshot label, cancel creation of the edition with an error message.
    2. For Unapproved Files, select the action from the list:
      Action Description
      Include Include the latest version of any referenced file in the created edition.
      Error If referenced files are encountered with no snapshot label, cancel creation of the edition with an error message.
  7. Specify the Searchable property for objects in the edition.

    Action Description
    Inherited The property is inherited from the property specified in parent folders in the edition hierarchy.
    Searchable Objects in the edition are searchable.
    Not Searchable Objects in the edition are not searchable.
  8. Click OK.
A batch job is launched to create the edition. You will receive an email notification when the job completes. The edition folder contains all of the files referenced by the selected object. Edition folders are decorated with the edition icon . Graphics, if present, are placed in a separate folder within the edition.
