Privileges Required for Checking In and Checking Out

Users must be granted privileges for various checking in and checking out actions.

System administrators can control which users can perform actions related to checking in and checking out objects.
Note: A user must be a member of one of the authoring groups to check out a structured document. See Authoring Licenses and License Groups.

Capabilities from General Privileges

An administrator can grant these capabilities on objects in the repository hierarchy to users, groups, or roles.
Capability Description
View Container Contents This privilege must be set or inherited for a user to see the contents of a cabinet or folder. If a user can't see an object, they cannot perform actions on the object.
Check Out The user can check out objects.
  • For unstructured files, the user can check out the whole object.
  • For structured documents, the user can check out the structured document itself or lower level locking units or elements.
Check In Another's Check Out The user can check in an object, locking unit, or element that was checked out by another user.
Note: Only changes saved to the repository when the object was checked out are checked in.
Revoke Another's Check Out The user can revoke the checkout of an object, locking unit, or element that was checked out by another user.
Note: All changes made when the object was checked out are discarded.

Command Visibility by Group

An administrator can control which commands appear in a user's Workbench Ribbon and in context menus, defined by group membership.

Command Description
Checkin Check in the selected object.
Checkin Repository Changes Check in structured documents or fragments that have been revised and saved to the repository, but for some reason were not able to be checked in due to, for example network error, editor failure, and so on. This action checks in the saved changes and unlocks the structured document.
Note: If the document is still open in an editor, and you have made changes but not saved them to the repository, those edits will be lost.
Checkin Replacement File You can select an unstructured file in the repository and replace it with a file that is located on the local machine or network. When you check in the replacement file, it becomes a file version of the selected unstructured file.
Revoke Edit Unlocks the object, locking unit, or element that has been checked out. The action avoids creating a version of the object.
  • A user can revoke the edit of an object they have checked out.
  • If the object was checked out by another user, the user executing the Revoke Edit command must have been granted the Revoke Another's Check Out privilege.
Note: All changes made when the object was checked out are discarded.

Administrative Object Visibility by Group

An administrator can control which administrative objects are visible in the user's Workbench Navigation View, defined by group membership.

Administrative Object Description
All Checkouts If this administrative object is visible, a user can see a list of objects checked out by all users. If authorized to revoke another's check out, the user can select an object another user has checked out and execute the Revoke Edit command.
